Performs a wide range of secretarial duties in support of the Northeast Medical Group mission, the Department, and the areas it supports. Responsible for ensuring that policies and procedures relative to work are strictly adhered to as communicated by superiors. Responsible for appropriately prioritizing multiple tasks. Must exhibit good judgment and maturity in dealing with physicians in all situations including confrontational and difficult cases while maintaining an outstanding customer service attitude. Must manage multiple complex tasks while acting as the liaison for leadership with staff across the institution and external constituencies. Must exercise discretion in safeguarding confidential information used in work.



  • 1. Provides general secretarial support to the NEMG leadership and assists other secretaries in the office to augment support to the rest of the Senior Management team.
    • 1.1 Opens and properly distributes all incoming mail on a daily basis
  • 2. Answers all calls.
    • 2.1 Answers telephone in a pleasant and courteous manner within four (4) rings, properly identifying self and the Department
  • 3. Maintains schedules.
    • 3.1 Schedules and confirms all appointments and meetings, ensuring appropriate participation as instructed. Distributes agendas and minutes as directed. Coordinates meeting space, catering and audio visual needs.
  • 4. Performs additional office administration duties as assigned in support of and to ensure efficient operation of the department.
    • 4.1 Receives and accurately processes check requests and other invoices in a timely manner.



High school diploma or equivalent.


Three (3) to five (5) years of experience in administrative secretarial work within a hospital or physician office setting. Experience interacting with physicians and physician office staff required.


Must be able to type at least 25 WPM.


MMR is required. Varivax (chicken pox vaccine) or evidence of prior chicken pox is required. Hepatitis B (or signed declination) is required for those with potential exposure to blood/body fluids.
Tdap and influenza vaccination are strongly encouraged.
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. They are frequently required to reach with hands and arms. They are occasionally required to stand and walk. They must occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, and depth perception. The noise level in the work environment is usually moderate.
